Social Media, Job Posting, Email & Newsletter Promotion Policy
For Members & Non-Members
The Hispanic Chamber of Commerce Metro St. Louis (HCCSTL) is happy to promote our members and community events and programs. We are here to support and amplify your efforts. This policy outlines our standards and expectations.
1. Purpose
This policy ensures consistency and alignment with our organization’s values and mission when promoting member events, business offerings, exclusive offers to our members, job opportunities, and announcements across our platforms.
2. General Policies
Content Approval Disclaimer
All submissions are subject to approval. HCCSTL reserves the right to decline or edit submissions for clarity, compliance, and brand alignment.
Timing
All requests for promotion are to be received by HCCSTL at least five (5) business days in advance of expected date of posting. Please send to: communication@hccstl.com
Payment Policy
Members receive promotional collaboration at no cost, as a member benefit. All paid promotions must be paid in full prior to publication.
Rescheduling & Cancellation
Cancellations made less than 48 hours before posting are non-refundable.

- We will do our best to promote your event across several channels.

Promotion Day: Member events will be promoted only on Fridays. - Submission Deadline:

- Event details must be submitted at least one week before the desired publication date.
- We recommend promoting your event at least two weeks prior to the event date for maximum visibility.

Flyer Size Requirements
- Instagram Stories: 1080 x 1920 px (vertical)
- Instagram Posts: 1080 x 1080 px (square)
- Facebook Posts: 1200 x 630 px (horizontal)
Collaboration on Reels
- We are happy to further amplify your post simply Tag our official @HCCSTL account in your reel.
- We will evaluate alignment with our mission and values before sharing.
B. Job Posting Guidelines
How to Post

Posting Duration
- Jobs remain online for 3 months. Please advise when the job opening is filled.

- Members: Free
- Non-Members: $75 per job posting

C. Newsletter Inclusion
Schedule
- Our newsletter is published every 1st and 15th of the month.
Priority Order
HCCSTL’s events and programs will be listed first, followed by member submissions, in calendar order. Flyers ready to publish must be provided along with links to registration or business landing page.
HCCSTL reserves the right to limit the number of member announcements in our newsletter due to space constraints. We will publish on a first-come, first-served basis.
Cost
- Members: Free
- Non-Members: $100 per inclusion; six postings (pre-paid) for $500.
Submission Requirements
- Image size optimized for Constant Contact platform (recommended: 600 px width, JPG or PNG format)
- Short description (100–125 words)
- Links for registration or landing website

Requests must be submitted at least 5 business days before the desired date of publication.

D. Exclusive Email & Social Media Campaigns
Exclusive email campaigns and SM posts are available to members and non-members on a limited basis at an additional cost.
Request with ready-to-publish graphic assets must be submitted at least 10 days prior to desired date and will be approved based on publication calendar availability.
- Exclusive Email: Members $75 | Non-Members $150
- Exclusive Social Media: Members $100 | Non-Members $200

E. Member-to-Member Deals
Members can create special offers, coupons, or promotions for a certain time to share with other members. This option encourages collaboration and networking within our community.

- Description of the offer or promotion.
- Validity period (start and end date).
- Any coupon codes or redemption instructions.

F. Submit your events for member viewing
Members Only
This process allows members to promote their events to other members through our internal event calendar.
- Members may submit events through the Member-only platform, also known as the Member Information Center (MIC). All submissions are reviewed and approved by staff before being published on the internal calendar. Click here to follow the steps.
- To access the MIC, you must log in using your member credentials. If you do not have your login information, please contact Alejandra Nino at anino@hccstl.com for assistance.
